If you’ve looked at HubSpot’s website and thought, “This seems much cheaper than the quote I just got,” you’re not alone.

HubSpot’s listed prices focus on licenses and guided onboarding, a lightweight, one-call-every-10-days-for-3-months kind of model. That might work if you’ve got someone in-house who’s implemented HubSpot a few times before and can do the heavy lifting.

But for most companies, it’s not that simple.

We’ve worked with over 100 companies onboarding to HubSpot, and here’s what we’ve learned.

How Much Should You Budget for Implementation?

A good rule of thumb: match your first-year HubSpot license spend with your implementation investment.

For example, a company using Marketing Professional (2,000 contacts) and Sales Professional (6 users) would spend roughly £13,000 in year one on licenses. A similar budget should be expected for a successful implementation with a top-tier partner.

Why Is It More Expensive Than It Looks Online?

HubSpot’s pricing model has changed a lot in recent years. Here are a few key things to know:

  • You now only pay for “Marketing Contacts,” not every contact in your CRM

  • Minimum seat requirements have dropped: you can now buy Sales or Service Pro seats one at a time

  • Features move around tiers regularly, so it’s essential to future-proof your setup

  • Free users are now limited to five, and some features that used to be available for free now require a “core” or “paid” seat

There are also usage-based features (like reporting, custom objects, or API limits), but most customers don’t run into these early on. What’s more important is choosing the right bundle and contract length upfront, and avoiding surprises later.

What Happens After Onboarding?

One of the biggest misconceptions we hear: “Once HubSpot is set up, we won’t need support.”
